Who we are

Counter Culture is a youth retreat held at 3131 Maplecrest Road, Fort Wayne, IN 46815. This policy explains what information we collect through countercultureconference.org (the “site”), why we collect it, and the choices you have.

Information we collect

Your account. When a church leader signs up, we collect the name and email address on the account. If you choose to sign in with Google, Google shares your name, email address and profile picture with us. We never see your Google password.

Your church’s reservation. The church name, the primary contact’s name, email and phone number, the number of students and adult leaders, how you heard about us, and the payments we record for your reservation.

Your roster. Leaders may add the people attending with their group. For students, this can include name, grade, date of birth, a parent or guardian’s name, phone and email, and any allergies or dietary needs. For adult leaders, it can include name, phone, email, an emergency contact, allergies or dietary needs, and a confirmation that a background check is on file. We do not ask for medical conditions or medications on the site.

Technical information. Like most sites, our hosting and sign-in providers automatically receive things like IP address, browser type and the pages requested, which they use to keep the site working and secure.

How we use it

  • To create and manage accounts, reservations and rosters.
  • To record payments and send reminders, confirmations and other messages about your registration.
  • To plan the retreat, including check-in, safety, dietary needs and emergency contact.
  • To answer questions and improve the site.

We do not sell personal information, and we do not use it for advertising.

Information about minors

Students do not create accounts. A church leader enters their information on the group’s behalf, and by doing so confirms they have the authority and the parent or guardian’s consent to share it. We keep students’ details to what the retreat needs, and we show them only to signed-in church leaders for their own group and to authorized Counter Culture staff.

Who we share it with

We share information only with the service providers that help us run the site, and only as needed to provide their service:

  • Clerk, for sign-in and account management.
  • Google, if you choose to sign in with Google.
  • Our database and hosting providers, to store and serve data.
  • Resend, to send email.

We may also disclose information if required by law, or to protect the safety of attendees. Payments are made off the site through RebelGive or by check, so we do not collect card numbers here.

How long we keep it

We keep information for as long as we need it to run the retreat and keep our records, and we limit how long we hold sensitive details such as contact and allergy information once the retreat is over. You can ask us to delete your information sooner at any time.

Security

Student and roster details are available only on pages that require sign-in, and are kept out of web addresses and emails. No system is perfectly secure, but we work to protect the information you share with us.

Your choices

You can review and edit your church’s details and roster from your dashboard. To ask for a copy of your information, a correction, or deletion, email info@countercultureconference.org.

Changes to this policy

If we change this policy, we will post the new version here and update the date above.
